FRONT OFFICE SUPERVISOR

Antonyan Miranda seeks to hire a bilingual (Spanish speaking) front office supervisor. The front office supervisor will be responsible for overseeing and supporting the firm receptionists, maintaining and managing office supplies, managing the phone system, and the overall aesthetics of the office.

A receptionist is the first point of contact for clients, customers, vendors, and employees. As the gatekeeper to the Firm, the front office supervisor must be friendly, articulate and maintain a polished, professional appearance. Responsibilities include greeting clients, answering all phone calls, maintaining calendars, sorting mail and providing refreshments for various meetings, and support the Firm in an administrative manner.

Responsibilities and Duties:
  • Managing the reception staff in both San Diego and Orange County offices.
  • Screen guests/customers/vendors upon arrival.
  • Zoom phone management.
  • Light IT inventory and support in conjunction with Office and IT Managers.
  • Assist Administrative team with firm-wide initiatives as requested, including coordination with partners, office management, business development, concierge team, attorneys and support staff.
  • Answer phones.
  • Calendar management.
  • Mail sorting and posting.
  • Legal service; receive and deliver.
  • Process file pick-ups/draft receipts.
  • Housekeeping: maintenance and cleaning of common areas and conference rooms.
  • Maintain phone directory.
  • Maintain office support log.
  • Update To-Do list with client information, as needed.
  • Update weekly billing calendar, as assigned.
  • Break room maintenance.
  • Maintain office support log.
  • Scan, copy, fax as needed.
  • Submit work orders.
  • Other duties as assigned by a supervisor.
Qualifications:
  • HS Diploma or equivalent (preferred).
  • Practices superior time
  • Maintains excellent writing and language
  • Makes evident good technical understanding and can pick up new tools
  • Possesses great ability to identify potential negative or crisis situation and apply conflict resolution principles to mitigate issues.
  • Strong analytical skills, attention to detail and ability to multi-task.
  • Must be able to investigate, document and resolve issues in a timely and professional manner.
  • Must possess the ability to generate trust and build relationships with co-workers.
  • Maintain confidentiality and professionalism at all times to protect the privacy of employees and clients.
  • Demonstrates winning social customer service techniques such as empathy, patience, advocacy and conflict resolution.
  • Strong phone skills a must.
  • Thorough knowledge and adherence to office policies and procedures.
